Bike-Leasing for employees: a brief explanation
As an employee, there are a few simple steps to follow:
1. registration in the Lease a Bike portal: This step is carried out either via a landing page or via a registration link shared by the employer.
2. verification: The email address provided must then be verified.
3. approval by the employer: The employer checks the registration and then approves the registration.
4. receipt of the order code: Employees receive an order code by e-mail.
5. selection of the bike at a Lease a Bike partner dealer: Employees can then visit a Lease a Bike partner dealer and select a bike in accordance with the company guidelines. The dealer enters the data into the Lease a Bike portal.
6. acceptance of the lease agreement: In the next step, employees accept the leasing contract digitally in the Lease a Bike portal.
7. approval of the leasing application: Now the final approval of the employer is still missing.
8. pick-up: Once approval has been given, employees receive a four-digit pick-up PIN with which they can pick up the bike.
For anyone who cycles regularly - whether for commuting, leisure or sport - and would like to use a high-quality bike at favorable conditions.
This depends on the guidelines of the respective company where the employee is employed.
As the gross salary is slightly reduced by the salary conversion, this can have a minimal effect on the contribution base for pension insurance. In practice, however, the effect is usually very small.
In the event of termination, whether by the employer or the employee, there are several options for dealing with the active leasing contract:
1. the company bike can be handed over to a colleague and the contract continues under the same conditions.
2. the company bike can be taken to the new employer, provided the new employer is also a Lease a Bike customer.
3. the company bike can be bought out of the contract at the currently calculated residual value.
4. the leasing contract is terminated without incurring any costs. This means that the company bike will be collected by agreement with Lease a Bike or returned to a Lease a Bike partner dealer. No further costs are incurred.
The leasing rate stated in the supplementary agreement to the employment contract does not correspond to the actual costs for your company bike.
The leasing rate is stated as a net and gross amount. If your employer is entitled to deduct input tax, the net leasing rate is usually offset against your gross monthly salary. This reduces your taxable gross monthly salary. Accordingly, your taxes are reduced.
If your employer is not entitled to deduct input tax, the gross leasing rate is deducted from your gross monthly salary.
As long as you are overpaid under the collective agreement, you are entitled to lease a company bike. If you earn exactly according to the collective agreement or less, please contact the responsible person in your company.
With salary conversion, you receive part of your contractually agreed salary not in cash but as a non-cash benefit for the period during which you use the company bicycle.
This means that a change is made via a so-called supplementary agreement to the employment contract, in which your future salary is mutually agreed to be reduced by a fixed amount (usually equal to the conversion rate) for the duration of the transfer of use.

In the event of a loss of continued remuneration, e.g., termination of employment due to prolonged absence due to illness, parental leave, or other possible reasons, we will always work with you to find the best solution, including individual, cost-neutral return for you as an employer, unless one of the following options is possible or applicable.
This could be, for example:
- Transfer of the lease agreement to another employee
- The employer takes all necessary internal measures (e.g., supplementary agreements to the employment contract, handover of the company bike, etc.) and ensures that the new user is registered on the Lease a Bike portal. Lease a Bike takes care of the name change. The transfer is free of charge.
- Early, cost-neutral termination of the lease agreement
- The employer can request the early termination of the lease agreement by mutual agreement. We support the employer in the process.
- In some cases, Lease a Bike offers companies early, cost-neutral termination of existing individual leasing contracts. The conditions for this are specified in the cooperation agreement.
In certain cases, it is possible to terminate a lease agreement prematurely, even during the agreed contract term of 36 or 48 months. Please feel free to contact us for more information.
A change of user is generally possible during the contract period. The reasons for this are usually the discontinuation of continued payment of remuneration to the employee, e.g., resignation from the company.

- Four to six weeks before the end of the lease agreement, employees receive an email informing them that the lease period is coming to an end and, if they wish, an offer to purchase the used company bike.
- Once the purchase offer has been accepted, employees receive an invoice confirming the taxation of the monetary benefit arising from the purchase, which is taken over by us (flat-rate taxation by third parties).
- Employees simply pay the purchase price by bank transfer. Once payment has been received, ownership of the bike is transferred to them. Your company will receive an annual overview of all bikes taken over and the corresponding proof of the monetary benefit.
- If a purchase is not desired, we will arrange for the bike to be conveniently picked up from the user or the company.

In Österreich ist pro Leasingvertrag eine Rechtsgeschäftsgebühr zu bezahlen.
Die Gebühr beträgt grundsätzlich 1% vom Wert der vereinbarten Gegenleistung.
